2024R1 User Based Security Business Process Framework

Whats new?

With the release of 2024R1, Workday has delivered a new business process for user-based role assignments. This new process allows for review and approval oversight to drive cross communication between your team as well as an audit log for tracking purposes. Prior to this release, user-based role assignments were immediately effective and had no ability to route or notify individuals when edits were made.

Configuration Required:

  1. Determine "who" can initiate, review, and approve the user-based security updates at your organization
  2. Only unconstrained security groups can initiate within this business process
  3. Enable and create the business process definition "User Based Security Group Event" via the task Create Business Process Default Definition
  4. Assign the initiate, review, and approval security decisions in step 1 on the Business Process Security Policy off the business process definition
  5. Strongly recommend using advanced routing if utilizing the same role to initiate and approve (i.e. - Security Administrator)
  6. Test, Test, Test!
  7. Since this is a new feature, start by building in Sandbox and processing an addition and removal of a user-based security assignment to ensure all notifications are processing as expected
